Overview
Appointment Statuses are designed to indicate what stage of an appointment a patient is at. The Appointment Status is reflected on the left-hand side of an appointment, and can be changed from the appointment menu.
Appointment Statuses are managed in Settings > Appointment Book > Appointment Book.
The default statuses include:
Booked - All new appointments begin with this status.
Reminder Sent - Automatically set once automatic reminders have been sent out.
Confirmed - Used to indicate that a patient has confirmed their appointment. Can be automatically sent using Standard SMS Reply phrases explained below.
Arrived - Used when the patient arrived in the waiting room and to display the patient in the practitioner queue.
In Session - Used when the patient enters the practitioner's room and to display the patient in the practitioner queue.
Completed - Used when there are no further actions required for an appointment.
Missed/DNA - Used when the patient misses or does not attend the appointment.
It is not possible to hide or remove these default statuses.
Appointment Status Options
The following options are available for Appointment Statuses:
Practitioner Queue - Appointments with this status will appear in the practitioner queue.
Hold Appointment Reminders - Appointment reminders will not be sent for appointments with this status.
Standard SMS Replies - Choose phrases in SMS reminder replies that should trigger the appointment to update to this specific status.
Auto-clear SMS Replies - Choose whether SMS reminder replies with standard SMS reply phrases should be cleared automatically. This can avoid clutter when SMS replies come through..
You also have the option to control the following:
Appointment Statuses are reset back to 'Booked' when rescheduling. Critical for appointment reminder processes to be reset.
Controlling whether the Appointment Status is updated to Completed after invoicing an appointment. This can be disabled entirely or set to a specific Appointment Status.
Creating a Custom Appointment Status
In addition to the standard Appointment Statuses, you can create custom statuses.
Go to Settings > Appointment Book > Appointment Book page and click Edit.
Scroll to the Appointment Statuses section.
Click Add
Enter the name of the Status and choose a colour for this status
Review the status options that you'd like to apply
Click Save to finalise your changes.
