The Active/Inactive Patients report is designed to find patients that have been Active, Inactive, or a combination of both within specified date ranges. This is accomplished by defining when patients had, or did not have appointments or transactions.
This report can be found by going to Reports > Patients > Active/Inactive Patients.
Setting the Criteria
By using the Active and Inactive Criteria’s date ranges, this report will search for patients that were Active (had an appointment/transaction) in the Active Date Range and/or were Inactive (didn’t have an appointment/transaction) during the Inactive Date Range. You can use these options individually or combine them to find patients that fit both criteria, for example: patients that had appointments last year (Active Criteria) but haven’t had any this year (Inactive Criteria).
Note: The words Active & Inactive are used in two different ways in this report. The Active/Inactive Criteria refers to when the patient had either an appointment or transaction. The Patient filter refers to the status of the patient’s file, whether they're marked as Active or Inactive. You can find more information in this article: Making a Patient File Inactive.
Search by
Set whether you want to search for patients by when they had an appointment or transaction.
Active Criteria
Set the Date Range for when patients had an appointment or transaction. You can also specify Appointment Types, Item Codes and who the appointment or transaction was with.
We recommend setting this filter even if you're just looking for patients that have been Inactive, this is to prevent patients that haven't been active for years from showing in the results. The last 1-2 years is a good choice if you're unsure.
Inactive Criteria
Set the Date Range for when the patients did not have an appointment or transaction.
Avoid overlapping the Date Ranges when setting the Active & Inactive Criteria as this will cause any patients that fall with the overlapping date ranges to not appear in the results. (A patient can't be both Active & Inactive at the same time)
Summary
Once you've set your filters, check the Summary for a breakdown of what patients will be included. If you're happy with the summary, all that's left to do is click Generate Report. If not, adjust the filters until the summary reflects what you're looking for.
Results
Once generated, you'll have a list of patients that fit your criteria. You can then decide what to do with the results by using the buttons at the top of the Results section.
