When configuring Roles in PracSuite, there is a special role permission within Clinical Notes called Full Clinical Administrator Permissions.

'Full Clinical Administrator Permissions' is a unique option that will grant users of this role full access to clinical notes. This includes all standard functionality such as viewing, creating, drafting, editing and copying (etc), but then goes a step further and allows the role to:

  • Access notes marked as 'Confidential' by other users.

  • Change the 'Share Notes' setting on behalf of other users, allowing the notes to be shared with other practitioners as needed (including people that are not 'Clinical Administrators' or 'System Administrators').

Since these are functions typically reserved to System Administrator users, who have unrestricted access to the PracSuite system, the 'Full Clinical Administrator Permissions' option can only be enabled or disabled by a System Administrator.


This allows roles to be configured with 'administrator-level' permissions for Clinical Notes specifically, without having to make those users a full System Administrator and granting unrestricted access to the entire PracSuite system.



It is important to note that 'Clinical Administrators' can still be configured with user-level restrictions, which means they can only access notes authored by specific businesses, professions or practitioners.

For example, you can have a role with full 'Clinical Administrator' access, but then restrict the user settings so the individual can only see notes for specific businesses, professions or practitioners. The user will have the special 'clinical administrator' permissions, which includes access to confidential notes and sharing, but only for the practitioners they are allowed.

The Clinical Administrator permission should be used with caution, understanding that it can be used to bypass the confidentiality and sharing of clinical notes as set by individual users.
