Microsoft Teams Meeting Integration

The Microsoft Teams integration automatically creates Microsoft Teams meeting links for telehealth appointment types in PracSuite. Corresponding meetings in Microsoft Teams will automatically be created, rescheduled and cancelled for all telehealth Appointment Types in PracSuite.

This integration is only compatible with Microsoft Teams for Work or School plans. It is not available for the free version of Microsoft Teams.

Connecting a Teams Account with PracSuite

Teams accounts you wish to use in PracSuite must be added in Settings > Integrations > Teams.

Select Add to start the process.

Select Continue to be redirected to log in with your Microsoft account.

Log in with the Microsoft account you wish to connect with PracSuite.

You will be redirected back to PracSuite.

Once the account is linked with PracSuite, you can assign the account to specific practitioners.

Telehealth features via Teams will be enabled for that practitioner when saving.

Select Save to finalise your changes.

Telehealth Appointment Types

Teams links will only be created for Appointment Types enabled for telehealth. To confirm whether your telehealth appointments are set up correctly, go to Settings > Appointment Book > Appointment Types.

Ensure that the Telehealth appointment option is enabled for all appointment types Teams links should be automatically created for.

Accessing Teams Links via the Appointment Book

When booking telehealth appointment types, Teams meeting links will automatically be created. When rescheduling or cancelling telehealth appointments, the corresponding Teams meetings will also be updated.

You will see the following on the Appointment Details screen before booking appointments.

Teams links will appear in this area after the appointment has been booked.

The Teams link can also be accessed from the Telehealth section of the appointment menu.

Use the open button to quickly join the meeting via the Teams app.

Adding Teams Links to SMS & Email Templates

The following merge fields are available to include in your SMS & Email templates.

<<AppointmentTelehealthLink>> - Inserts the patient's telehealth link

<<AppointmentTelehealthLinkPrac>> - Inserts the practitioner's telehealth link

Managing API Permissions

If you're presented with a message stating that Administrator approval is required to allow PracSuite access, you will need to provide this access from within your Office 365 account.

While making changes to your Microsoft account is outside of our support scope, these general steps should point you in the right direction. This would need to be completed by a user with access to the Microsoft admin portal.

​How to manage API permissions in Microsoft Entra:
​

  1. Go to the Microsoft Entra admin portal
    https://entra.microsoft.com
    Sign in with your Microsoft 365 admin account.

  2. Open Identity
    On the left, go to Identity.

  3. Choose Applications
    Go to the section titled App registrations.

  4. Select the app
    Find the app that corresponds to your PracSuite integration.

  5. API Permissions
    Inside the app, open API Permissions.

    This is where you can:

  • Add or remove permissions

  • Click Grant admin consent if required

If you have any issues in granting this access the next step would be to contact Microsoft for support.

Once permission is granted and your account is verified, the Outlook account will be added to the list of available accounts.
