Google Calendar & Google Meet Integration

Overview

The Google Calendar integration allows a practitioner's PracSuite appointment book to appear in their Google Calendar account. The integration is one-way, meaning that your PracSuite appointment appears in Google; however, changes cannot be made via Google. All changes to appointments must be made directly in PracSuite.

The Google Calendar integration is ideal for Google and Android users, and it should refresh quicker than the iCalendar feature.

After enabling Google Calendar integration, it's also possible to use Google Meet as your preferred platform for telehealth appointments.


Create a Dedicated Calendar in Google

Within each practitioner's Google Calendar account, a dedicated calendar for PracSuite appointments must be created for each corresponding PracSuite business.

To create a new calendar, go to your Google Calendar and select the + icon on the left side.

Repeat this process for each PracSuite business.

Enabling the Google Calendar Integration

Google Calendar integration is only available to user accounts that are linked with a practitioner file. The following option must be enabled on a practitioner's user account in Settings > Users & Security > Users & Security.

Each practitioner must set up their Google Calendar integration within their individual PracSuite account. It is not possible to set up Google Calendar integration on behalf of another practitioner.

After creating dedicated calendars for each business in Google, each practitioner must work through the following steps.

From the user menu in the top right-hand corner of their PracSuite account, select Manage Calendar Integrations.


Enable Google Calendar for the required businesses. These steps will need to be repeated for each business.

After selecting a business, you'll be prompted to Sign in with Google.

After signing in to your Google account, select the Select All option to ensure PracSuite can access all required data.

Select the corresponding Google Calendar for PracSuite to sync appointments for this business.

You must select a calendar in your Google account that is dedicated to an individual business in PracSuite. Do not select a calendar that is used for other purposes or a calendar that you have selected to use for Google Calendar integration with another PracSuite business.

You can also customise how patient names should appear in Google Calendar, along with the patient identifiers you want to appear on the appointment in Google Calendar.

Select Save to finalise your changes.

Repeat the steps above for each PracSuite business, remembering to select a different Google Calendar for each business.

You will now see PracSuite appointments in your selected Google Calendar.

PracSuite will sync the next two years of appointments with Google Calendar. During busy periods, changes to appointments made in PracSuite may take a few minutes to reflect in Google Calendar.


Enabling Google Meet Integration

From the user menu in the top right-hand corner of their PracSuite account, select Manage Calendar Integrations.


​Enable Google Calendar for a business or use the cog button to Edit an existing setup.

To automatically generate Google Meet links for telehealth-enabled appointments, select a Calendar and enable the option "Create Google Meet Links for Telehealth Appointments".

Once enabled, Google Meet will be set as the practitioner's preferred telehealth platform and used to create telehealth meeting links. After enabling Google Meet, join links will be created for all future telehealth appointments.

To confirm whether Google Meet is enabled for a practitioner, go to Settings > Practitioners > Practitioners.

Select the practitioner and scroll down to the Telehealth section.


If the user has not linked their Google account to PracSuite from the user menu, the following message will display instead.

Telehealth Appointment Types

Google Meet links will only be created for Appointment Types enabled for telehealth. To confirm whether your telehealth appointments are set up correctly, go to Settings > Appointment Book > Appointment Types.

Ensure that the Telehealth appointment option is enabled for all appointment types Google Meet links should be automatically created for.

Accessing Google Meet Links via the Appointment Book

When booking telehealth appointment types, Google Meet meeting links will automatically be created. When rescheduling or cancelling telehealth appointments in PracSuite, the corresponding Google Meet event will also be updated.

You will see the following on the Appointment Details screen before booking appointments.

Google Meet links will appear in this area after the appointment has been booked.

Google Meet links can also be accessed from the Telehealth section of the appointment menu.

Use the open button to quickly join the meeting via Google Meet.

Adding Google Meet Links to SMS & Email Templates

The following merge fields are available to include in your SMS & Email templates.

<<AppointmentTelehealthLink>> - Inserts the patient's telehealth link

<<AppointmentTelehealthLinkPrac>> - Inserts the practitioner's telehealth link
