Passes and Online Bookings

Passes are designed to simplify the management and sale of appointment packs in your practice. Whether you’re offering a 10-pack of Pilates sessions or a bundle of group exercise classes, Passes provide a seamless experience for both your practice and your patients. When combined with the online booking system, Passes provide a self-service way for patients to purchase a pass and use it to redeem appointments.

Configuring Online Booking Services

Allowing patients to use a pass to redeem appointments is enabled per online booking service in Settings > Online Booking > Services.

Select the settings cog on the right to begin configuring online payment and pass redemption settings for the selected Appointment Type.

You can configure what online payment or redemption options the patient has available for the selected appointment type.

If you do not see payment options, it means that you haven't enabled general online payment features powered by the Tyro Health Online integration. Click here to learn more.

You can choose whether payment or redemptions when booking online are required or optional.

  • Off - No payment or redemption is available when booking online.

  • Payments - Payment with a credit or debit card is available when booking online.

  • Pass Redemptions - Pass redemptions are available when booking online.

  • Both - Payment and Pass redemptions are available when booking online.

It's also possible to enable a payment/redemption explanation to outline your policy and perhaps highlight any potential savings that might apply when purchasing a pass instead of paying individually per appointment.

When allowing pass redemptions, you must specify which passes can be used to redeem this appointment.

Online payments and redemptions rely on the Appointment Type's default item code being set correctly. In the case of pass redemptions, the Appointment Type's default item code must be listed as a redeemable item on any of the selected passes.

Save your changes to complete the pass configuration process for this appointment type.

You'll need to repeat this process for each online booking service and appointment type that patients can redeem using passes.

Logged In Patient Perspective

Using Passes online requires patients to have registered for an online booking account. Passes can only be purchased and redeemed after logging in. Patients who book as a guest cannot purchase or redeem appointments using passes.

Viewing Pass Balances

After a patient logs into their account, they will see the status of valid passes they have purchased, including any passes on their family accounts.

Redeeming Appointments

If a patient has a valid pass that can be used to redeem their appointment, it will be displayed at the last step of the online booking process. If they don't have a compatible pass, they'll have the option to purchase one if you have online payments enabled.

The example below shows a patient booking multiple class appointments and choosing a pass to redeem each of them.

If an appointment is booked and redeemed online, it will automatically be marked as processed and redeemed so that the patient's pass balance is reduced.

Purchasing Passes Online

Purchasing passes online requires the Tyro Health Online Integration to process payments. This integration must be configured to use this feature.

Allowing patients to purchase passes online is optional. If you don't allow passes to be purchased online, passes can only be purchased in the practice.

If you want patients to be able to purchase passes online, online payments must be enabled in Settings > Online Booking > Overview.

All passes that can be used for redemptions online will then be available for purchase online.

After logging into their online booking account, a patient can select the Purchase Pass button at the top of the page. Passes can also be purchased during the booking process.

The patient can choose which pass they would like to purchase before proceeding to payment.

Once payment has been confirmed, they will immediately be able to redeem appointments using that pass.

Passes purchased online will be added to the patient's nominated Online Payments account. You can confirm which account is used for online payments by going to the Accounts tab of that patient file and selecting Manage Accounts.

Select which account you want to use for online payments.

Staff will be notified of the online purchase in the Online Payments alert category.
