Passes and Packs

Introducing Passes, a new set of tools designed to simplify the sale and management of appointment packs in your practice.

Whether you’re offering a 10-pack of Pilates sessions or a bundle of group exercise classes, passes provide a seamless experience for both your practice and your patients.

When combined with the online booking system, these new tools offer a self-service way for patients to purchase a pass and use it to redeem appointments.

DVA Claims - Condition treated/disabilities can now be stored in the injury field on patient accounts, which will be passed through to Tyro Online when submitting DVA claims.

iCalendar & Google Calendar integrations - For enhanced privacy, you can now choose how patient names should be displayed when syncing your appointments with other calendars.

GST Items - You can now toggle GST on an item code directly from the invoice screen. Simply hover over the GST amount to access this new feature.

Appointment Schedules - When printing/emailing a PDF appointment schedule, there's now an option to display times in the patient's time zone.

Reports - We've optimised the Report Printing menu for faster Printing and PDF Downloading.

NDIS - In Settings > Billing, we've added a new 'NDIS rounding logic' option to better handle item quantities and fees when invoicing under the NDIS, where fees are typically rounded down. It ensures smoother interactions with plan managers and the NDIA, reducing rounding issues and minimising rejections for invoices and bulk uploads.

Introducing advanced email templates and a brand new email template builder that allows you to create professional emails and newsletters that look great on desktop and mobile devices.

To inspire your email content, browse the Template Catalogue, which contains many vibrant example templates. You can also insert hundreds of free stock images into your email templates.

Note that advanced templates cannot be edited when manually composing emails and are only suitable for emails that don’t need editing at the time of sending.

Online Bookings

We've introduced new online booking settings:

Limit Appointment Start Times

This new feature is designed to limit the start times of appointments displayed to patients booking online. It is ideal for practices that must maintain a specific sequence/order of appointments to avoid unused time on the appointment book.

Logged in Booking Alerts

Online booking alerts now appear for bookings made by logged-in patients. Unlike guest bookings, these alerts do not require processing and are purely a notification of a logged-in booking. This can be disabled in Settings > Online Booking > Overview

Get More Times

You can now choose to allow patients to get more times in addition to those first offered. This option is ideal for practices that have more relaxed rules about how much availability to present online. Existing roster rules are still respected.

This can be enabled in Settings > Online Booking > Overview under the Individual Appointments heading.

We've also added a Show More Dates option to make seeing three more dates at a time easier.

Invoice Adjustments Report

This new report is designed to assist practice managers and bookkeepers in viewing net changes to previously billed items. It aims to provide clear insights and better tracking of financial adjustments in your practice.

Key aspects of the new report include detailed tracking to see how changes to existing invoices and items affect fees, discounts, write-offs, and GST values. You can also track items dated into or out of the same period.

Other Improvements

Third-Party Accounts - We've added an option to display patient addresses on third-party invoices. This option can be enabled on the Accounts tab of third-party payer files.

Form Printing/Emailing - When printing or emailing completed forms, you can now include a business header at the top of the page.

Clinical Note File Attachments - When uploading attachments via clinical notes, you now have the option to only attach the file to the clinical note without it appearing in the Files tab of that patient record.

16/5/24

Online Bookings - We've introduced two new online booking settings:

Logged in Booking Alerts

You can now enable alerts for online bookings made by logged-in patients. Unlike guest bookings, these alerts do not require processing and are purely a notification of a logged-in booking. This can be enabled in Settings > Online Booking > Overview

Form Printing/Emailing - When printing or emailing completed forms, you now have the option to include a business header at the top of the page.

Clinical Note File Attachments - When uploading attachments via clinical notes, you now have the option to only attach the file to the clinical note, rather than it appearing in the Files tab of that patient record.

30/4/24

Automatically Invoice Appointments - This new feature streamlines the billing process by automatically generating invoices for appointments at a specified time after the appointment ends.

This feature is designed for third-party billing workflows where payment is not required on the day. No payments are automatically processed when using this feature. This tool is particularly useful for practices that accumulate invoices over a set billing cycle—be it weekly, fortnightly, or monthly—and then issue these invoices in bulk at the end of the cycle.

Group Appointments - You can now message all patients within a group appointment from the Group Appointment Details screen.

12/4/24

New "sticky" SMS number functionality - The default SMS service in PracSuite will now send your SMS from a consistent mobile number rather than a randomly allocated number per message, helping patients recognise messages from your practice. Note that the mobile number may be shared by other practices using PracSuite, generally outside of your area.

There is no change in functionality for subscribers with a dedicated/fixed SMS number, which is reserved for your practice only.

Forms - We've added an email icon to the Forms tab of the patient file to make emailing PDFs of completed forms easier.

Campaign & Bulk Email Improvements - We've made a few minor improvements to the UI, including displaying the reason why email campaign message has failed.

5/4/24

Campaign & Bulk Email Improvements - Campaigns have a new look and tools to provide insights into how many patients have opened the email and clicked links within it. Open and click-through tracking is available for Campaigns and once-off bulk emails from reports.

Practitioner Appointment Alerts - Practitioners can now choose for appointment alerts to only be sent within a certain timeframe of the appointment. For example, if you only want to be notified of changes within 24 hours of the appointment.

Forms & Tags - Patient Tags selected in Forms are now displayed on the Forms tab of the patient file and on the Forms Report. You can also add general tags to Form templates in addition to tags based on patient responses.

NDIS Claim Type Improvements - You can now set default NDIS Claim Type properties per Appointment Type. For example, if you have a Travel Appointment Type, you can set the default NDIS Claim Type to travel.

Credit Balance - The available credit balance is now highlighted on the invoice screen.

Multiselect Menu Improvements - We've added a new Select All option to make working with multi-select filters easier.

Clinical Note Templates - You can now make adding tags to a clinical note a requirement. This option can be found at the top of each clinical note template.

20/3/24

Accounting Periods - This new feature is designed to control which users can make changes to financial data in historical date ranges. For example, if your accountant or bookkeeper has already reconciled the previous financial quarter, that period can be locked to prevent further changes unless a user has the required permission.

Before enabling this feature, we recommend discussing it with your accountant or bookkeeper to develop a workflow suited to your business and accounting processes.

19/2/24

Zoom & Microsoft Teams Integration - Meeting join links can now automatically be created for telehealth appointments using Zoom and Microsoft Teams.

9/2/24

  • Bulk Appointment Editing - It's now possible to edit a patient's appointments in bulk from the Appointments tab of the patient file. Click here to learn more.

  • Treatment Plan Report - We've added an Appointment With filter and a filter to only show patients without future appointments.

23/1/24

  • Appointment Scheduler - To make booking multiple individual and group appointments more flexible, you can now customise appointment schedules with different practitioners, appointment types, durations, resources and more. These new tools are also available when editing existing appointment schedules.

  • Telehealth Links - You can now manually add telehealth links to Group Appointments.

  • Patient Contacts Report - You can now use this report to send messages to patient contacts in bulk. Marketing SMS and email fields have been added to patient contacts, referrers and third-party contacts to support mandatory email unsubscribe links when using this feature.

  • Hourly Billing - When enabling hourly billing per appointment type, you will be asked if you want to apply this setting to existing appointments.

18/12/23

7/12/23

  • Hourly Billing - This new feature is designed for practices that invoice at an hourly rate, such as with the NDIS. When invoicing via the Appointment Book, Hourly Billing will set the quantity field for the item code based on the appointment duration. For example, a quantity of 1 = 60 minutes, 0.5 = 30 minutes etc. This feature is only supported when invoicing via the appointment book. Click here to learn more.

  • PDF Templates - You can now create and upload PDF templates that support merge fields in fillable sections of the PDF e.g. text fields. PDF templates are ideal for prefilling patient data into PDF forms supplied by third parties.

  • Forms - Form templates now support merge fields, allowing you to prepopulate patient data in text fields, information blocks and warnings blocks.

  • Roster Overrides - The Add Override button is now accessible at the top of the roster page. You can also add multiple overrides at once.

A reminder that you can quickly access a practitioner's active roster by hovering over their name at the top of the appointment book.

  • Clinical Notes - When accessing clinical notes via the Appointment Book, a new Appointment Details button is displayed. This provides practitioners with a quick way to view the appointment tooltip containing basic patient info, upcoming appointments, treatment plan info and more. A reminder that it's possible to reorder the tooltip tiles to suit your individual preferences.
