30/11/23

  • Item Group Billing - You can now select Item Groups as the default Appointment Type billing code as well as when using the Add Item menu when invoicing. This is ideal for appointments that require multiple item codes to be billed at the same time. Invoicing support must be enabled individually per Item Group. Click here for setup instructions.

  • Payer File Defaults - You can now configure the default preferences used when creating new payer files.

  • Forms & Clinical Notes - Following last week's announcement regarding the new calculator component, we have added downloadable example templates for NDIS service agreements budgets and the Body Mass Index (BMI) tool. The form examples can be found here. The clinical note examples can be found here.

  • Billing Report - The export of the Patient report now includes new columns for Discount (Total) and Net Fee (Exc GST).

  • Templates - All template types can now be made inactive.

  • Patient Pronouns - We've added a blank option to the list of selections

  • Patient Pronouns - We've updated the terminology used on patient profiles to include separate fields for sex, gender identity and pronouns. Options are also available to display the updated terminology on the online booking site and in form templates.

    High-visibility pronouns can also be enabled, which will display them at the top of the patient file and in the appointment tooltip.

  • Forms & Clinical Notes - Added a new calculator component that allows you to, for example, calculate BMI (Body Mass Index), construct tables of rates, and define budgets on NDIS service agreements.

  • Utilisation Report & Widget - You can now choose for rule outs to reduce utilisable time. For example, if you have a day with 7 hours of utilisable time, but a 1-hour rule out is added to a practitioner's appointment book, the utilisable time will be reduced to 6 hours.

  • Patient Contacts Report - A new report allowing you to view details of individuals added to the Contacts tab of patient files.

  • Appointment Activity Report - Added the option to exclude same-day reschedules.

  • Tasks - You can now enable alerts for various task actions. Users can manage which task alerts they'd like to receive individually via their alert preferences. All task alerts are disabled by default, so if you wish to receive these alerts, you will need to enable them manually.

  • Appointment Report - A new heatmap function allows you to identify the busiest times of the week. This feature works with the filters on this report, allowing you to find the busiest times for e.g. initial consults or missed appointments. The heatmap can provide insight into both past and future appointment numbers.

  • Matrix Component - Sections can now be added to Clinical Note & Form matrixes. Each section can have different column headers, values and choices. Calculations can be formed using responses across different sections within the matrix.

  • Unsubscribe Links - Email unsubscribe links can now be added to any email templates using the <<EmailUnsubscribe>> merge field. This merge field is mandatory for emails sent in bulk from any reports and will automatically be added to the bottom of your bulk emails if it is not manually added to your email template.

  • Forms - A separator is now displayed for section headers when printing completed forms.

  • Payment Report - An Item Date column is now included in the CSV/Excel export.

  • Patient Contacts - Contacts added to patient files can now automatically be sent a copy of appointment Confirmations, Reminders and Follow Ups, as well as Invoices, Statements and Quotes. These features are designed for scenarios such as reminding parents of a child's appointment and copying in support coordinators or case managers into appointment and invoice correspondence. You can learn more about these new features here.

  • Default Appointment Types - You can now choose default Appointment Types based on the Fee Category associated with a patient file. This is ideal for clinics that have specific Appointment Types for e.g. Medicare patients. If Medicare is assigned as the Fee Category on a patient file, the Medicare Appointment Type can be selected by default.

  • Credits - Using the quick pay icon to apply credits will now automatically apply the oldest available credits, rather than having to select them manually.

  • Outstanding Invoices Report - The Scheduled Report feature is now available for this report in Excel format.

  • Templates - Tables in Clinical Note and Email templates can now be resized.

  • Discounts - You can now enter a discount as a percentage value.

  • Alerts - The alerts pane is now separated into categories.

  • Item Code Menu - Item Schedules are now easier to access when adding items to invoices and when filtering reports.

  • Appointment Follow Ups - When cancelling appointments, you now have the option to prevent follow ups from being sent for the selected appointment.

  • Item Code Fee Overrides - Fee overrides can now be added to all practitioners at a particular business.

  • Referrals Report - Exports now contact organisation and profession fields.

  • Day List Report - Exports now contain the Appointment Profession field.

  • Utilisation Report and Widget - Inactive practitioner businesses are now filtered out of the results.

  • Billing Report - To improve clarity on the Billing Report, we've introduced a separate reporting option for users to specify whether they are searching for items that were billed or paid in the date range selected. This will reduce confusion when selecting a corresponding 'Search by' option.

    When reporting on 'Items paid in range' this will now be searching by Allocation Date by default, which is the most used search criteria in this context.

  • Patient File - You can now manage their marketing preferences when marking a patient as inactive. Marking a patient as deceased will automatically set the marketing fields to opt-out.

  • Day List - A patient's preferred name is now displayed.

  • Clinical Note Quick Buttons - You can now import and export Quick Buttons, making sharing these with fellow PracSuite users easier.

  • Merge Fields - The Bill to Contact merge fields now work with all billing types (private, family and third-party). We've also added a new merge field for Appointment Provider Number.

  • Appointment Book - We've improved the usability of the appointment book on smartphones.

  • Clinical Note Exports - You can now enable password protection on PDF exports.

  • Patient File - When marking a patient as inactive, you can now delete all waiting list entries.

  • Patient Audit Log - The patient audit log is now consistent with the Audit Log Report, making viewing all patient file activity easier. The Patient Audit log is in the cog menu at the top of the patient file.

  • Patient File > Appointments - We've added appointment duration and account columns, and improved the display of appointment types by using their familiar colours.

  • Forms - Previously, the treating practitioner allocated to a completed form was always set to the patient's default practitioner. Moving forward, if an appointment is linked to a form, the appointment practitioner will be used instead of the default practitioner.

  • New PDF Viewer/Editor - We've added a new PDF viewer/editor with improved functionality. Not only can you view PDFs, you now have full PDF editing, page rotating, signing, annotating and commenting tools.

    Coming soon: PDF security and PDF templates, which will allow you to import or create PDF files from scratch, including support for standard merge fields and form-filling functions. Stay tuned!

  • Billings Report - You can now filter the results by Fee Category. In the Patient report type, we've added a quantity column to better align with the invoicing screen. The export results now contain a Bill To column to indicate whether the items are billed to a third-party, and the NDIS participant ID column where the NDIS integration is enabled.

VALD Integration

PracSuite now integrates with VALD Health, a solution that combines exercise prescription, outcome measurement and human measurement tools.

Best of all, VALD TeleHab, their exercise prescription module, is completely free! Built with practitioners in mind, TeleHab focuses on alleviating the frustrations of traditional exercise prescription platforms.

From its best-in-class interface to having your clients seamlessly record and upload videos of their exercises for extra visibility, TeleHab reduces the barriers to adopting exercise prescription technology in your practice.

The PracSuite integration allows practitioners to quickly create new patient profiles and access existing patient profiles in VALD, reducing the double handling of patient information.


Other Changes in this Update

  • Treatment Plan Report - Added an Appointment Date range filter, allowing you to view treatment plans for patients with appointments in a specific range.

  • Quantity Billing - The Quantity Billing feature is now enabled for all users by default, revealing a Qty column on the invoice screen. This can be disabled in Settings > Billing.

  • SMS Sender ID Changes - Due to regulatory changes, alphanumeric SMS Sender IDs must now be approved for use in PracSuite. It will also no longer be possible to use generic SMS Sender IDs, such as 'NoReply' or 'DoNotReply' etc.

    We have requested approval on behalf of all users with existing Sender IDs. We will reach out in the coming weeks if there are any issues with your existing Sender IDs.

    At this time, these changes do not affect entering a valid mobile number into the Sender ID field, which allows replies to PracSuite SMS to be delivered to the chosen mobile number.

    ⚠️ Please note: Patients cannot reply to an SMS sent using an alphanumeric Sender ID. This feature is intended for one-way, no-reply advisory messages to your patients appearing from your business name.

    If you'd like to use the alphanumeric Sender ID function and understand that patients will not be able to reply to these messages, you can learn more about applying to use this feature here.

  • Tasks - Each task now has a comment thread allowing staff to communicate regarding task progress.

  • Online Booking & Forms - We've added an option to disable bot protection powered by Google's reCAPTCHA technology. While we highly recommend leaving this setting enabled to prevent spam bookings, in some web browsers with strict privacy protections, this can lead to patients being misidentified as a bot.

    If you are receiving large volumes of patients reporting that they have been detected as a bot when booking online or completing a form, you can now choose to disable bot protection entirely in Settings > Online Booking and Settings > Forms.

  • Pinned Contacts - You can now pin contacts, which will display their details alongside family members on the main page of patient files. For example, you can pin emergency contact information and have it visible on the front page of patient files.

You can choose which contact relationships you wish to pin across all patient files in Settings > Contact Relationships. Alternatively, you can pin contacts individually from the Contacts tab of the patient file.

  • Appointment Book - The Create New menu has been added to the top of the Appointment Details screen.

  • Treatment Plan Report - Added Tracked Item Codes to the exports.

  • Treatment Plans - You can now add multiple treatment plans to the same account. This is ideal for NDIS providers that need to track separate budgets per profession.

  • Treatment Plans - We've added a new quantity type, which better tracks the billing of quantity values with decimal places. This is ideal for keeping track of the number of billed hours when billing by the hour.

  • Tasks - You can now add customisable checklists to tasks and set task priorities.

  • Medipass Payment Instalments - You can now offer patients the option to pay off an amount over a maximum of 24 weekly or monthly instalments. Instalments payments are automatically added to the patient file in PracSuite on the instalments dates.

  • Clinical Notes - Improved timeline loading speed, especially for patient files with extensive treatment histories and file attachments.

  • Clinical Notes - Added the option to Save and Print a note.

  • Roles - Added a new Clinical Administrator Role permission that gives the user full access to clinical notes. This includes all standard functionality such as viewing, creating, drafting, editing and copying, but goes a step further to allow access to notes marked as confidential by other users and to change the 'Share Notes' setting on behalf of other users.

  • Share Clinical Notes - System Administrators and users with the new Clinical Administrator role permission can now manage clinical note-sharing permissions on behalf of other practitioners.

  • Files - Improved the load time of the Files tab where there are large volumes of files.

  • Audit Log - The system Audit Log is now available to view user activity in PracSuite.

  • Rosters - Added a Copy Roster Override option to the cog menu.

  • Mailchimp - Patients marked as inactive in PracSuite after being synced to Mailchimp will now be removed from Mailchimp when using the 'Exclude inactive patients' option.

  • Family Billing - Single patient invoices on family accounts can now be moved to other accounts.

  • Medipass Payment Links - You can now automatically insert payment links in appointment confirmations, reminders and follow-ups. This feature is designed for clinics requesting pre-payment for appointments. By including a new <<PaymentLink>> merge tag in your SMS & email templates, an invoice and Medipass payment link will automatically be created for the appointment, and a payment link will automatically be inserted into the message.

  • Form Editing Before Sending - When sending a form manually, you can now edit and prefill answers before sending it to the patient.

  • Clinical Notes - You can now include additional text alongside single-choice and multiple-choice questions. This option can be enabled per component within Clinical Note Templates, as shown below.

  • Google Calendar Integration - We're pleased to launch a one-way integration with Google Calendar as an alternative to the existing icalendar feature. Google Calendar and Android users have provided feedback that when subscribing to the icalendar feed, changes aren't reflected in Google Calendar for several hours. This new integration will reflect PracSuite appointment book changes in Google Calendar almost immediately.

  • Quick Actions Menu - Letter templates can now be selected in the menu.

  • Treatment Plans - The Quick Actions menu is now available on the Treatment Plan alert popup, making it easier to take appropriate action when Treatment Plan alert triggers are reached.

  • Medipass - On the invoice screen, you can now see whether a patient's payment card has been saved in Medipass.

  • Forms - We've added a new 'Warning Block' component that can be added to form templates. An example is below:

  • Patient Files - You now have additional options when marking a patient file as inactive.

  • Transactions Report - The write-off reason is now displayed in the description field.

  • Days Off - Days Off can now be applied to specific business and practitioner combinations using a multi-select drop-down. This is especially useful for Public Holidays where some practitioners have chosen to continue practising while others are unavailable.

  • Patient File - GP and Referring Doctor dropdown menus now include the option to display inactive records.

  • Statements - You can now generate statements for multiple businesses that share a Settlement Account. This is ideal for practices where patients move between businesses and would like a single statement summarising their invoices across those businesses.

  • Forms - Google Analytics and Google Tag Manager support is now available.

  • Appointment Book - We've been working behind the scenes to improve the speed and performance of the appointment book.

  • Clinical Notes - Along with changing the Print button to an Export button, we've also added the option to email a PDF export of clinical notes directly from PracSuite, without downloading the PDF first.

  • Forms report - We've added a new report allowing you to find forms created or processed in a particular date range.

  • Patients and Payers - The Items and Payments tabs now display Created by and Last Modified by details.

  • Waiting List - From within a patient file, you can now use the Quick Actions menu to add a patient to the waiting list.

  • Billing and Payment reports - Exports now contain allocation dates, Created by and Last Modified by columns.

  • Patient List report - Exports now contain a GP column.

  • Referrals report - Exports now contain a Referrer Organisation Name column.

  • Messages report - The results can now display SMS messages sent ad-hoc from the Tools menu.

Further Improvements to Editing Payments

Our last update introduced improvements to editing payments from the payments tab on patient and payer files. In this update we have introduced similar improvements when editing payments directly from the invoice screen.

The first thing you'll notice is that we have relocated the edit payment icon to the right-hand side.

Selecting the edit icon will now allow you to edit the payment method, amount, allocations and allocation dates for each item.

Further, it's now much clearer when you're editing a payment that has been allocated against several invoices, such as when working with previous credits. Along with seeing the allocations for the invoice you're currently viewing, you'll see how that payment has been allocated against other invoices.

Other changes in this update:

  • Birthday List - Added the option to exclude patients with future appointments.

  • Future Appointment Report - Added a filter for Appointment Status.

Improvements to Editing Existing Payments

You can now edit payments within the Payments tab of patient and payer files. This new window allows you to:

  • Edit Payment Method

  • Edit Payment Amount

  • Edit Payment Allocation Dates

  • View all invoices associated with the payment

Note: New Role permissions have been added for editing existing payment amount and editing existing payment methods.

Other Improvements In This Update

  • Appointment Book - The tooltip displayed when hovering over a practitioner's name on their column now includes quick links to their practitioner file, their active roster and the days off page. We've also included the details of the incomplete clinical notes and tasks due on that date.

  • Patient File - The Messages tab now displays icons to represent where a message originated from, such as appointment confirmations, reminders and follow ups, as well as invoices, the online booking system, bulk messages from reports and campaigns.

  • Date Picker - Added This Week Last Year, Last Week Last Year, Next Week Last Year, Month Before Last Month, Month Before Last Month Last Year and Next Month Last Year date ranges.

  • Patient List - Added a General Practitioner filter

Xero Integration - Now Available!

Our Xero integration has now been certified and is available to all users! Say goodbye to tedious bank reconciliation tasks and hello to increased efficiency. Our purpose-built Xero integration for allied health providers sets us apart from other platforms by intelligently summarising different payment methods.

We've written a guide that covers the integration setup process, which should be straightforward for most practices. The most important part is to complete a test sync using a trial organisation in Xero. This will allow you to upload your PracSuite data without consequence and familiarise yourself with the format of how your PracSuite data is synced across before you sync with your main Xero account.

  • Payments Report - Added a Search By Allocation Date filter.

  • Date Picker - Added 'Last Month Last Year' and 'Next Month Last Year' date ranges.

  • Payers - Inactive patients are now filtered out of the list of linked patients shown on the main tab.

  • Date Picker - We've added Relative and Absolute tabs, allowing greater flexibility across reporting and Dashboard filtering, Saved Filters and Campaigns. We've also added financial quarter options to the year list.

  • Treatment Plan Report - You can now use the Send Message, Bulk Tagging, Campaigns, and Mailchimp Tag Sync functions with this report.

  • Patient File > Appointments Tab - You'll now see a notes icon on the right-hand side indicating when there are appointment and online booking notes.

  • Reports - Reports listing patient names now also include Client IDs, which are found in the URL bar when on a patient file.

  • Automatic Appointment Follow Ups - We've improved the logic used to determine whether a patient has a future appointment, reducing the chance of follow ups being sent incorrectly.

Roster Improvements

Based on user feedback, we made several improvements to how Roster Overrides work.

  • Adding a Roster Override will now automatically enable that day on the appointment book, even when that day is usually disabled on the main roster. For example, if Saturdays are usually disabled on a roster, but you add an override for a once-off Saturday shift, Saturday will show on that date without enabling Saturday on the main roster.

  • Roster Overrides can now extend a practitioner's appointment book start and end times without changing the start and end times on the main roster. For example, if your roster usually starts at 9AM, an override can now be added to extend the appointment book back to 8AM for once-off occasions.

  • You now have the option to only apply appointment type restrictions to patients booking online. This means that if you want to restrict new patient bookings to certain times, you can apply these rules only to the online booking system, allowing your staff to book other appointment types as needed.

We have identified a small number of practices that these changes would negatively impact, meaning some days/times that were previously hidden would become visible. If you are one of these practices, this new behaviour will be disabled by default in Settings > Appointment Book. It can be enabled once you've had a chance to review your existing rosters and roster overrides.

Other changes in this update include:

  • Forms - Patient Contact and Linked Contact information can now be captured on patient forms. These details will be saved into the Contacts tab of a patient file once a form has been processed.

  • Quantity Billing - We have resolved rounding issues that could occur when using the quantity billing feature, namely when invoicing common NDIS items.

  • Appointment Book - When hovering over an appointment, you'll see the appointment's start time, end time and (if space allows) duration displayed in the time bar.

  • Family Booking - You can now start the family booking process using the Make Next Appointment function.

  • Medipass Card Payments - Sending payment links to patients will now mark the associated invoice as issued.

  • iCalendarAppointment Feed - The HTTPS link is now displayed alongside the Webcal link for compatibility with more devices.

  • Transactions report - We've reworked a few things behind the scenes to improve the speed of this report.

  • Patient List report - Added an Occupation filter.

  • ACC New Zealand - This integration allows NZ users to export a CSV file containing claimable items directly from PracSuite. This CSV file can then be used to submit claims in bulk using the ACC SendInvoice app.

  • Forms - We've added support for custom questions that require patients to select a response from a drop-down list.

  • Forms - You now have more control over which health fund card details you wish to collect and which are required.

  • Online Bookings - Where a patient has a preferred name saved on their file, this will now be displayed when they log into their online booking account.

  • Auto-Completes - Auto-Completes are now available within the word processor for letter writing and when composing email and SMS messages. Previously, Auto-Completes were only available to practitioners within Clinical Notes. New settings allow you to control where each Auto-Complete shortcut can be used.

  • Appointment Book - The calendar is now displayed above the Practitioner Queue.

  • Letter Templates - Merge tags are now supported in headers, footers, tables and text boxes.

  • Reports - You now have the option to email report results without having to export/download them first.

  • Forms - Form links can now be added to email templates as user-friendly hyperlinks, as opposed to inserting the entire URL. When using the form drop down list to insert form links into your email templates, you'll now be prompted to enter display text for the hyperlink.

  • Group Appointments - Patient names can now be displayed on group appointments. This option can be found in the settings area in the bottom left of the appointment book under the 'Display' heading.

  • Chat - You can now enable browser notifications for new chat messages. We've also added a setting to control whether the browser tab title flashes when receiving a new chat message.

  • Statements - Added the option to filter out invoices that are on hold when generating statements from patient and payer files, as well as in bulk using the statements report.

  • Clinical Notes Printing - Added the option to filter clinical notes by tag.

  • Payments Report - Added remittance number for bank transfers to the Excel and CSV exports.

  • Patient List Report - Added a date created filter to the report allowing you to find patient files created in a certain date range.

  • Image Viewer - We've introduced a new image viewer that supports zooming, rotating and flipping when opening images within clinical notes and on the files tab of the patient card.

  • Transaction Report - Credit Allocations can now be displayed in the report results. Credit Allocations represent previous unallocated payments that have since been allocated to an item.

  • Report Date Range Picker - You can now type custom From and To dates manually, rather than having to select them on the calendars.

  • Medipass - icare NSW, WorkSafe VIC & Comcare payments will now include Medipass' Bank Lodgement Reference in the remittance number field to assist with the bank reconciliation process.

  • Quick Actions Menu - Added an option to create a new form.

This update introduces our first major re-design with an improved look and feel across PracSuite, as well as many new features.

Patient Overview Page

  • Choose between the new grid view or the existing 'stacked' view.

  • Account snapshot - View recent invoices, as well as account summaries with referring doctor and treatment plan details.

  • The appointment carousel is now available.

  • Medicare/DVA card info can now be displayed.

Pinned Tags

Pinned tags allow you to view certain tags at the top of every patient file tab.

Chat Improvements

We've added support for group chats, emoji reactions and deleting messages. Chat can also be popped out into a new window.

Automatic Appointment Follow Ups

Follow Ups are great for:

  • Contacting missed or cancelled appointments, including the option to only contact patients with no future appointments

  • Post-appointment feedback request

  • 'Thank you for visiting' message

Email & SMS Campaigns

Campaigns are great for:

  • Sending weekly/monthly recall notices

  • Engaging with Active/Inactive patients

  • Sending weekly/monthly birthday wishes to patients

Clinical Notes

Save As Draft is now a separate button. The Physitrack button is now available while writing a clinical note.

Practitioner Queue for Admin Staff

A practitioner queue is now available in the bottom left of the appointment book to view patients marked as arrived. The queue can be grouped by practitioner and sorted by appointment time or wait time.

Invoices

You can now view associated appointments and claims in the bottom right of the invoice screen, including the ability to manually link an appointment to an invoice item.

Indicators are displayed next to the Health Fund and Medicare/DVA payment methods on the invoice screen when a patient has this information saved on their patient file. Hovering over these icons will reveal further details.

  • Patient List Report - Added additional information to the Excel and CSV exports.

  • NDIS Bulk Export - Added additional claim types for telehealth supports and irregular SIL supports.

  • Statements Report - Added a Fee Category filter.

  • Contacts - Marketing Source, Supplier and Third-Party Payer grids can now be exported.

  • Group Appointments - Added a new Role permission to prevent overbooking group appointments.

  • Recalls Report - Added an option to sort by recall date.

  • Invoice Role Permissions - We've overhauled the permissions related to invoices to allow greater control of various invoicing functions.

  • Reconciliation Report - You can now group the report results by date and business to avoid running the report several times. You'll also see individual totals for claims and payments depending on which integration they've been processed through.

  • Patient Time Zone - You can now store a patient's time zone on their file allowing you to send confirmations and reminders in the patient's time zone. It is also possible for patients to see appointments in their time zone when booking online. These features are ideal for practices offering telehealth appointments around the country.

  • Patient File > Appointments - Appointment status colours are now displayed in the appointment list.

  • Appointment Reminders - Added support for sending reminders up to 10 days before an appointment.

  • Appointment Book Tooltip - You can now choose your preferences for the order of the tiles displayed in the bottom row of the tooltip.

  • Appointment Book - Previously, when attempting to reschedule appointments into a slot that was shorter than the original appointment, you would receive a warning that the time was unavailable. Moving forward, you'll now receive a prompt asking whether you want to reduce the duration of the appointment to fit it in the available space.

  • Third-party Payers - You can now select default email templates for third-party payer invoices. These preferences can be set in the Default Email Templates section at the bottom of each business.

  • Utilisation Report - Added support for choosing which Appointment Types contribute to utilised time. Scheduled Reporting is also now available for this report in Excel format.

  • Appointment Tooltip - It's now possible to view patient file notes and warnings, as well as Medicare, DVA, pension card and health fund card details. Missed/D.N.A appointments are also now highlighted in the appointment carousel. The user who created and last edited the appointment is now displayed at the bottom of the tooltip.

  • Appointment Details screen - You can now see who created and last edited the appointment at the bottom of the screen.

  • Appointment Confirmations - We've introduced specific preferences on the patient file for appointment confirmations. Previously, confirmations were sent based on the existing appointment reminder preferences on the patient file.

  • Clinical Notes - Added a Save & Close option which, will return you to the appointment book on completing a clinical note. The Save & Invoice option is also now available when editing clinical notes.

  • Patient File > Appointments - Improved filtering between past/future appointments.

  • Forms - Added a date component for custom questions that require a date response.

  • Online Booking - Improved uploading of practitioner profile photos with better resizing tools.

  • Bulk Emails via Reports - All bulk emailing via reports will now include unsubscribe links for patients to opt out of your marketing correspondence.   • Share My Clinical Notes- This feature allows a practitioner to share the clinical notes they have written on a single patient file with other practitioners. This new feature is separate from the existing clinical note access permissions, which are set per user login and applied globally to all patient files. A new Role permission must be enabled to use this feature.

  • Appointment Book - You can now collapse the left-hand side pane on the appointment book. When using the expanded calendar to select a date in another month, the calendar will no longer scroll that month to the top.

  • Appointment Reminders - Reminders can now be sent up to 7 days before an appointment. This was previously limited to up to 3 days before.

  • Appointment Confirmations - You can now set a default preference on whether to resend appointment confirmations when rescheduling appointments. You also have the option to cancel sending a confirmation after rescheduling and when using the Make Next Appointment feature.

  • Appointment Status - You can now choose to disable appointment statuses resetting to 'booked' when rescheduling appointments.

  • Outlook Integration - This integration was previously limited to sending emails from the Outlook/Microsoft account linked with PracSuite. You can now register 'Send As' addresses to send emails on behalf of other mailboxes, including shared mailboxes and distribution lists.

  • Patient File Defaults - We've consolidated all new patient file default settings onto a single page. This includes new options for default SMS and email marketing preferences, default file folders and default clinical note reminders and warnings.

  • Online Payments - Payments taken at the time of an online booking are now supported for practitioners without a provider number. This requires adding a unique Medipass ID number per business in Settings > Integrations > Medipass.

  • Home screen - The Notice Board widget now supports rich text, including images.

  • Tyro - We've added support for HCF 'More For' health fund claims. If your practice participates in the HCF More For program, you can enable this from the Tyro integration settings page.

  • Tyro - You now have greater control over which provider numbers per practitioner should be sent to Tyro for a health fund claim. We've also added support for dental tooth codes.

  • Reports - Clicking hyperlinks in grid results will now open the selected link in a new window so that you don't lose your report results.

  • Third-Party Payers - New Payer files created will now have their invoice preferences set by default to email with 1 PDF and 1 invoice per email.

  • Referring Doctors - You can now copy referring doctor profiles making it easier to create profiles for other locations where the doctor practises.

  • Group Appointments - We have made the process to book a patient into multiple group appointments more consistent with the individual appointment process. After selecting a patient to book into a group, look for the Book Schedule button to book multiple appointments.

  • Healthengine integration - You can now link your PracSuite account to Healthengine, which will allow bookings to be made via Healthengine directly into your appointment book.

  • Tyro integration - You can now disable Medicare Easyclaim functions via Tyro from the integration settings page.

  • Clinical Notes - Added a new Role permission to control editing another practitioner's clinical notes. Note that this permission is off by default.

Appointment Book

  • We've redesigned the appointment tooltip with a clearer layout and new interactive elements.

  • Expanded the intervals displayed in the time bar on the left-hand side of the appointment book.

  • You'll now see the time you're hovering over shown in the time bar.

  • You can now customise which businesses and practitioners to display when the filters are set to All.

  • The font size of the appointment book can now be adjusted.

  • Appointment Book - A Find Times button is now available which allows you to quickly find available times and book appointments.

  • Scheduled Reports - Password protection can now be enabled on scheduled report PDF results. When enabled, individuals receiving the scheduled report will need to enter the password to view the results.

  • Reports - A banner is now displayed at the top of a report if the user running the report has data access restrictions. This is intended to highlight that they may not be seeing all available data due to their access restrictions.

  • Patient File > Contacts - Introducing Linked Contacts: You can now add existing Referrers, Payer Contacts and other Patients to the Contacts tab of a patient file without having to enter the contact's information from scratch.

  • After booking a schedule of appointments, you now have the option to Email or Print a list of the upcoming appointments for the patient.

  • SMS Replies - Added the option to auto-clear Standard SMS Replies like Yes/Y to save having to manually clear these types of replies. You can manage Standard SMS Replies here. A reminder that you can also view a log of SMS replies using the Messages report.

  • Clinical Note Memos - Non-practitioner users can now add Memos into the clinical note timeline without requiring access to treatment notes. Adding and editing Clinical Note Memos requires a new Role permission.

  • Added a Files tab in the Show History pane allowing previewing of documents/files while creating clinical notes

  • Practitioners can now select a preferred template that will automatically be selected when creating a new clinical note

Mailchimp is an online email marketing solution that allows you to manage email campaigns for your patients. This integration includes the option to automatically sync your patient list to Mailchimp, as well as tools to apply Mailchimp tags to patients that appear in PracSuite report results.

By tagging contacts in Mailchimp, you can take advantage of Mailchimp automation features, which are ideal for automatically sending email correspondence to patients in the following scenarios:

  • Following up missed and cancelled appointments where a patient has no future appointments scheduled

  • Daily/Monthly/Weekly Birthday Emails

  • New Patient Welcome Emails

  • Sending Recall Notices

  • Appointment Reviews/Surveys
