If a patient requires multiple appointments, it is easy to make all appointments at one time using the Schedule function.
Booking a New Appointment Schedule
On the Appointment Book, select a day and time for the first appointment in the schedule and select the patient.
Select the Appointment type and click Book Schedule.
The Scheduler Pane will appear, allowing you to customise the recurrence settings appropriately.
Choose how often the appointment should repeat: Daily, Weekly, Monthly, Yearly.
You can choose to book a certain number of appointments, or continue booking up until a particular date.
The scheduler pane will be filled according to your recurrence selection.
You can modify any instances of the recurrence schedule, including date, time, practitioner and more, as required. You can also add additional recurrence rows to the grid using the Add button.
When hovering over the dots on the right of each recurrence row, you can remove the recurrence or apply the preferences of that particular recurrence to all appointments in the schedule.
Select Check & Reserve Times to determine whether the times are available to accommodate the recurrence.
After selecting Check & Reserve Times, PracSuite will check to confirm whether the times in the schedule are available according to the Roster Availability type that you've selected above the recurrence list. These options relate directly to the practitioner's Roster configuration.
If a conflict is detected and a recurrence instance cannot be booked, you will see a red exclamation mark next to it. You can use the drop-down menu to select another time that is available on that date, or choose to delete that instance of the recurrence.
If adjustments have been made, select the Check & Reserve Times button again.
Once any conflicts have been resolved, you'll be able to select Book Schedule to finalise the process. An option is also available in the dropdown to Print and/or Email the patient their upcoming appointment schedule.
Editing an Existing Appointment Schedule
Appointments in an existing schedule can be edited in bulk from the Appointment Book.
Select an appointment in the schedule from the Appointment Book and select Appointment Details.
Select Edit Schedule.
Only future appointments in the schedule will be displayed by default.
Make any changes to the appointment schedule as required and then select Edit Schedule.
If no conflicts are detected, you will receive a confirmation that these appointments have been successfully edited.
Any conflicts will be highlighted and will need to be resolved.
Select Edit Schedule to finalise the process.
