Visit counts show which visit an appointment is for a patient, such as their fifth appointment. They appear on the appointment carousel and on the Appointments tab of the patient file, so you can see where a patient is up to without counting.
Visit counts are off by default. This article explains how to turn them on, how the account setting works and where you'll see them.
Note: Visit counts in the clinical notes sidebar are managed separately in the sidebar settings. See Using the Clinical Notes Sidebar.
Turning on visit counts
These settings are saved for your own login, so each user chooses their own.
Go to the Appointment Book, select the Settings icon in the bottom left-hand corner
Choose Tooltip Preferences.
Under Show Visit Count, switch the toggle on.
Under Default Account Scope, choose how appointments are counted (see below).
Select Save.
How visits are counted
Appointments are numbered in date order, including upcoming appointments.
Cancelled appointments are not counted and do not appear in the carousel.
Missed appointments appear in the carousel but do not get a number, and they are not counted.
Default account scope
If a patient has more than one account, such as separate accounts for different funders, you can choose which appointments the carousel shows and counts:
All accounts: Every appointment for the patient, whichever account it is booked against. This is the default.
Just the account the appointment is booked on: Only appointments booked against the same account as the appointment you are looking at.
This setting is the starting point for the appointment tooltip and the appointment details screen. In both, the carousel has All accounts and This account buttons, so you can switch for the appointment you're viewing. Switching is temporary and is not saved. The next appointment you open starts on your default again.
When the count is limited to one account, the visit numbers are greyed out. Hover over a number to see "Count reflects your current filters".
The patient file always counts appointments across all accounts in the carousel, and this setting does not change that.
Where you'll see visit counts
Appointment tooltip
Hover over an appointment in the appointment book. The carousel in the tooltip shows a numbered badge on each appointment.
Appointment details
Open an appointment. The carousel shows the patient's previous and upcoming appointments, each with its visit number. Use All accounts and This account to change what is counted.
Patient details
On the patient's Details tab, the Appointments carousel shows the visit number on each appointment. It always includes every account.
Appointments tab of the patient file
The Appointments tab has a visit number column on the left of the list. Numbers are based on the patient's full history, so they stay the same when you filter by date.
If you filter by appointment type, status, practitioner, patient name or account, the numbers change to count only the appointments that match, and they are greyed out. Hover over a number to see "Count reflects your current filters". Clear the filters to return to the full numbers.
If Show Visit Count is off in the Appointment Book Tooltip Options section, the column is hidden.
