This article outlines how to add patients to the Waiting List for group appointments. Information on how to add patients to the Waiting List for individual appointments can be found here.

Adding a client to the Waiting List from a full Group Appointment

When viewing a Group Appointment with no availabilities, you will see an Add to Waiting List button appear next to the Add Patient button. Select Add to Waiting List to add a client.

Search for an existing patient or create a new patient.

You can set the Priority and add Waiting List Notes to the Waiting List entry before selecting which full group appointments you wish to add the client to the waiting list for. To continue, select Add to Waiting at the top to confirm.

You will be returned to the Group Appointment view which will now have a new card for Waiting List

Adding a client from the Waiting List

To access the Waiting List, click the Clipboard icon on the bottom left of the Appointment Book.

Select the add '+' icon to start the process of adding a patient to the waiting list.

Search for an existing patient or create a new patient.

Select the Group Appointment Type that you are looking for. You can set the Priority and add Waiting List Notes. You can also specify the Businesses, Professions and Practitioners that the patient is waiting to see.

Use the AM/PM day filters to search for certain days and then select Find Full Group Appointments. Note that on the waiting list, only full Group Appointments will display.

Tick the group appointments that you wish to add the client to the waiting list for and select Add to Waiting at the top to confirm. A Waiting List entry will be created for each Group Appointment the client is waiting for.

Processing a Waiting List Entry from a Group Appointment

You can add a client on the Group Appointment Waiting List to the Group Appointment by hovering over the entry and then selecting the Book button. Note that this can be done even when the Group Appointment is full, if this is the case a warning will appear that there is no free space but you will still be allowed to book the client in.

PracSuite automatically checks for appointment availabilities every 10 minutes and a notification will be displayed if an available appointment is found. Clients will remain on the Waiting List until an appointment is found or the group appointment is in the past when they will move to Expired.

Entries on the Waiting List adapt to the filters selected in the top-right of the Appointment Book.

To view the Waiting List entries either for all days or for the selected day or week only, select the Filter icon in the Waiting List, make a selection under Days to Display and to save your selection, select Save.

When an appointment is found it will appear in the Appointment Available section, along with the patients that can be booked at the available time.

Select the client you to wish to book into the available space to view options to book the appointment, go to the appointment time, go to the patient's file or delete the Waiting List entry.

Selecting Book This Appointment will start the process of finalising the appointment. If the client is able to attend the group appointment, select the Book button to bring up the Appointment Details screen to complete the booking.
