Resource view shows the appointment book with a column for each resource instead of a column for each practitioner. It's useful when you want to see at a glance which rooms and equipment are free, which are booked, and who is using them.
Resources are set up in Settings > Appointment Book > Resources. See Using Appointment Resources for how to create them.
Turning on resource view
Go to the Appointment Book and select the settings cog in the bottom left corner.
Turn on Enable Resource View.
A Practitioner | Resource switch now appears at the top of the appointment book. Use it to move between practitioner view and resource view. This setting applies to your own login only.
If Enable Resource View is greyed out, no resources have been set up for your account, or you don't have access to any.
What you'll see in resource view
Each column is one resource. The header shows the resource name with a line underneath in the resource's colour.
Each column is lightly tinted in the resource's colour, so rooms and equipment are easy to tell apart. You choose the colour in Settings > Appointment Book > Resources.
Columns start and end at your business's opening and closing times.
Columns follow the order of your resources in Settings > Appointment Book > Resources.
Appointment blocks show the patient name, with the practitioner's name underneath.
Filtering resource view
The Business and Resource filters sit across the top right of the appointment book. If there isn't room to show them on one row, they move into the Filters button.
Booking from a resource column
Select a time slot in the resource column.
Search for the patient in the panel that slides in from the left. You can also choose New Patient, Group Appointment or Note here.
The Appointment Details pane opens with the resource already selected from the column you clicked.
Choose a practitioner. The practitioner field starts blank, and Book stays disabled until you pick one. See Choosing a practitioner below.
Profession, Appointment Type and Item Code fill in from the practitioner's defaults, and you can change them. If you change the practitioner, they reset to the new practitioner's defaults.
Select Book.
Rule Out and Override aren't available when booking in resource view.
Choosing a practitioner
The practitioner list shows one business at a time. Above the list, you can use:
Business. This is a drop-down when the resource is available at more than one business, and is hidden in a single business clinic.
Profession. This only shows when the list includes more than one profession.
Roster Availability. Choose Manual, Online or Waiting List to check practitioners against that type of roster slot. The appointment is booked against it.
Search. The list filters as you type.
The list has two sections. Available practitioners can be selected, and the patient's default practitioner is listed first and tagged Default practitioner. Not available practitioners are greyed out below. A practitioner is not available if:
they don't have access to the resource
they aren't free at that time
their roster at that time doesn't allow the selected Roster Availability type
Practitioners who aren't rostered at that business at that time aren't listed.
PracSuite checks availability again when you select Book. If someone has just booked the practitioner, the practitioner field is flagged and you can choose another.
