The Share Notes feature is designed to allow practitioners access to clinical notes that they are typically restricted from viewing. This allows for sharing notes on a per-patient basis, which can include confidential notes, files and forms.

​e.g. The practitioner 'John Smith' is only allowed to view their own clinical notes by default, as configured under Settings > Users & Security. A situation arises that requires John to view the notes of another practitioner called 'Peter Provider', for a particular patient. The practitioner 'Peter Provider' can now use the "Share Notes" feature to share his notes with 'John Smith' for the requested patient.

Note: For a user to share their notes with another practitioner, they must have their user profile linked with their practitioner file as seen below. Please ensure that this has been completed in Settings > Users & Security.


Enabling Sharing For Your Notes


To share your clinical notes, go to the Clinical Notes tab of the patient file on which you wish to share notes and select the Share Notes button.

Once enabled, you will be given options on the notes being shared, and who they are being shared with. You can also select whether to share your confidential notes, confidential files and confidential form responses.

You can then select which practitioners you are sharing these clinical notes with. This can be All Businesses & Practitioners, or specific Businesses, Professions and Practitioners.

The Share Notes button will display a green tick to indicate when sharing is active for a patient.

Clinical notes that have been shared with you will include a Shared label as shown below:


Managing Sharing Settings on Behalf of Another Practitioner

If the user is a 'System Administrator' or has a role with 'Clinical Administrator' privileges, this will also allow them to use the 'Share Notes' function on behalf of any practitioner.

When using the Share Notes function as a System Administrator or Clinical Notes Administrator, you'll see an additional drop-down named 'Change Sharing Permission For'. Select a practitioner in the list to manage their sharing permissions for the patient file you're on.

Note: This will be hidden for practitioners who only have permission to share their own notes.
