Transferring ownership of a PracSuite subscription
When selling your business to a new owner who wishes to retain the PracSuite subscription, Smartsoft will need to issue a transfer of ownership document to the new owner to complete.
To proceed with this process, the existing account holder/primary contact must contact Smartsoft in writing by emailing accounts@smartsoft.com.au or reach out to us via Live Chat while logged into their PracSuite account.
Steps for the existing owner
The existing owner is required to:
Contact Smartsoft to initiate the change of ownership
Prior to the changeover date, the existing owner must create a user login for the new owner with System Administrator Role permissions. To do this, navigate to Settings > Users & Security > Users & Security.
Consider whether other accounts for PracSuite integrations, such as Tyro Health Online, will also need to be transferred. You must contact each integration vendor directly to discuss their change of ownership process.
Steps for the new owner
After completing the change of ownership form, the new owner must review the following in PracSuite:
Smartsoft does not have access to your PracSuite account to make any changes following the change of ownership.
1. Review practitioners included in your monthly subscription
If any practitioners are leaving the practice following the change of ownership, you will need to mark their practitioner file as inactive to avoid charges. This can be done by navigating to Settings > Practitioners > Practitioners.
2. Review users with access to your PracSuite account
You will also need to review the list of users with access to your PracSuite account and their associated Role, which outlines their security permissions within PracSuite. To do this, navigate to Settings > Users & Security > Users & Security.
Things to review include:
Review the Role permissions of all users that are continuing with the practice. If the previous owner is staying with the practice, this may mean changing their Role from a System Administrator to another Role type with restricted access.
Mark any users who should no longer have access to the PracSuite account as inactive, such as the previous owner, if they should no longer be able to log in to the account.
To mark a user as inactive, open their user profile and select the Mark User as Inactive option in the cog menu.
3. SMS Credit Purchases
If you use the SMS service, the card information for SMS credit purchases may need to be updated. This can be done by going to Settings > PracSuite Account > SMS, clicking Edit, and then updating the card details. Make sure to click save once you have entered your information.
4. Business Settings
The new owner will need to review settings in place throughout PracSuite, though particular consideration should be given to existing Business settings, such as ABNs and Settlement/Bank Account information that is printed on invoices for payment.
5. Contact & Billing Details
The new owner should also review the contact and billing details for the practice in Settings > General > General. This page includes your business details, along with the Primary, Billing, and Technical contacts for your PracSuite account.
Your Billing Contact email is where subscription invoices and receipts are sent, so it's worth confirming this has been updated to reflect the new owner.
SMS credit purchase receipts are sent to the same Billing Contact email by default, but can be overridden to a different email address in Settings > PracSuite Account > SMS if needed.
