Using PracSuite AI for Telehealth Consultations

To use PracSuite AI’s live transcription features, your microphone must be able to clearly capture both your voice and your patient’s. This is usually straightforward during in-person consultations or when dictating notes, but it can be more challenging during a Telehealth consultation conducted via video or voice call.

For Telehealth consultations, there are two recommended workflows:

  1. Generate a transcript using your Telehealth platform and paste it into the AI Notepad.

  2. Download the audio recording from your Telehealth platform and upload it using the PracSuite AI Upload function.

Recommended Workflow for Telehealth

Instead of relying on your microphone to capture both sides of a Telehealth session in real time, we recommend using one of the options available through your Telehealth platform, such as Zoom, Microsoft Teams, or Google Meet.

You can either:

  • Generate a transcript from your Telehealth provider and paste it into the AI Notepad.

  • Record the consultation, download the audio file, and upload it using the PracSuite AI Upload function.

Both options allow PracSuite AI to create a clinical note from the Telehealth consultation without relying on your device microphone to capture the call audio.

Option 1: Using a Transcript from Your Telehealth Provider

Each of PracSuite’s integrated Telehealth providers includes a native transcription feature. In our testing, Microsoft Teams has the best workflow, as you are provided with the transcript once you end the meeting.

Note: Smartsoft does not provide support for transcription setup or troubleshooting outside of PracSuite. Please refer to your Telehealth provider for assistance.

Your organisation should review the privacy policies and terms of use of any transcription service to ensure it is appropriate for clinical use.

Alternatively, you may choose to use a third-party tool such as Fathom to generate a transcript from your Telehealth session.

Creating the Clinical Note in PracSuite from a Transcript

Once you have your transcript:

Navigate to the Clinical Notes tab in the patient file. Select AI Clinical Notes.

Then select the Notepad option.

Paste the transcript from your Telehealth session into the Notepad. Select Generate Note or use the dropdown menu to choose your preferred template.

PracSuite AI will then create a clinical note as if the consultation had occurred in person.

Option 2: Uploading an Audio Recording from Your Telehealth Provider

Another option is to record your Telehealth consultation using your Telehealth platform, then download the audio recording and upload it to PracSuite AI.

This workflow may be useful if:

  • Your Telehealth provider does not generate a suitable transcript.

  • You prefer PracSuite AI to transcribe the audio directly.

  • You already record Telehealth consultations using Zoom, Microsoft Teams, or Google Meet.

Note: Google Meet recordings are only captured in video formats and can't be uploaded directly into PracSuite. You would first need to convert the video file into an audio file.

Note: Smartsoft does not provide support for recording setup, recording permissions, or troubleshooting outside of PracSuite. Please refer to your Telehealth provider for assistance.

Your organisation should review the privacy policies, recording settings, and terms of use of your Telehealth provider to ensure this workflow is appropriate for clinical use. You should also ensure you have appropriate patient consent before recording a consultation.

Creating the Clinical Note from an Audio Upload

Once you have downloaded the audio recording:

Navigate to the Clinical Notes tab in the patient file. Select AI Clinical Notes.

Select the Upload Audio option.

Upload the audio file downloaded from your Telehealth provider by selecting Add or dropping the file into the upload box.

Once the audio has been uploaded and transcribed, review the transcript and make any adjustments you deem necessary. You can then select Generate Note, or use the dropdown menu to choose your preferred AI Clinical Note template.

PracSuite AI will then create a clinical note based on the uploaded Telehealth recording.
