Using AI Clinical Notes

AI Clinical Note Templates

To begin, go to a client's Clinical Notes tab and use the AI Clinical Notes button at the top.

PracSuite's AI feature allows you to generate clinical notes in one of four ways: Dictation, Conversation, Audio Upload and Notepad.

Microphone setup and recording environment

For accurate voice-to-text transcription, achieving good audio quality is essential, and this is directly tied to your recording environment as much as your microphone hardware. Aim for a quiet room, away from background noise like fans, other conversations, or traffic, and keep the microphone at a consistent distance from whoever's speaking. Dictation

Ideal for practitioners returning to their computer or device after a consult and dictating the events of the session after the fact, commonly once the patient has already left the treatment room. You speak your findings alone into the microphone.

Conversation

Ideal for capturing the entire consult conversation between practitioner and patient, live, as it happens. It works best in a direct, question-and-answer format between practitioner and patient, with the practitioner's questions guiding the discussion. While minor small talk is filtered, casual conversations without clinical relevance may not contribute to a meaningful note.

Conversation can be combined with the Additional Information field, letting you type in anything that isn't said directly to the patient, for example a clinical observation you'd rather note privately during the session.

Audio Upload

For practitioners who record a consult on a dedicated recording device rather than through PracSuite directly. Upload the audio file to PracSuite to begin the process. Once it's uploaded and transcribed, you'll reach the same review step as Dictation and Conversation below.

Recording controls (Dictation & Conversation)

The maximum duration for AI clinical note recordings is 140 minutes.

Both Dictation and Conversation use the same recording toolbar:

  • The dropdown icon allows you to select a different microphone.

  • Use the Pause button to pause the recording.

  • Restart Recording will scrap the current recording entirely and allow you to start again.

  • Selecting Finish Recording stops the recording and begins the transcribing process.

  • Select the dropdown icon next to Finish Recording to select an AI clinical note template to bypass the transcription and generate your note instantly.

  • You can use the Additional Information box while recording or afterwards to add any additional clinical information you want to provide the AI for context.

  • Using Clinical History - Selecting previous clinical notes lets the AI draw on a patient's treatment history when writing the current note, for example referencing progress against a previous session's plan, rather than treating each note as a blank slate. Once your transcript is ready (Dictation, Conversation & Audio Upload)

Whether you've finished a live recording or uploaded an audio file, you'll reach the same review step:

  • Review the Transcript and make any adjustments you deem necessary.

  • Playback the recording, use the blue dot to scrub to a desired part of the recording and use the speaker icon to change the volume.

  • Add Additional Information to be used in addition to the transcription. This can be used if you do not wish the patient to hear additional information during the transcription process. Either type or use the speaking person icon to record into this section.

  • Use the Include Clinical History button to select additional clinical notes that you would like the AI to consider when writing the note.

  • Select Generate Note to use your favourite template, or choose a different template from the dropdown.

    To set a favourite: use the star icon on any AI Clinical Note Template to mark it as your favourite. Whenever you select Generate Note without picking from the dropdown, PracSuite uses your favourited template automatically.


Notepad

  • Hide Notepad will hide the additional notes you have typed.

  • Past Clinical History allows you to select previous notes for the AI to consider when outputting the current note. Same feature as Include Clinical History in Dictation, Conversation and Audio Upload; see Using Previous Clinical History in AI Clinical Notes & Letters

  • Generate Note will be disabled until enough text has been entered into the Notepad.

  • Select Generate Note to use your favourite template as set above, or choose a different one from the dropdown.


After generating a note

Once a note has been generated, you can refine it further, add supporting content, or move straight into writing a letter.

Refine with AI Fine Tune

Select Show AI Fine Tune to add instructions that refine the AI's output, for example "include an additional section for patient history" or "include differential diagnosis in the clinical note."

Once you've typed or dictated your instructions, select Regenerate Note. You can repeat this as many times as you like until the note reads the way you want.

Add body charts, images and templates

All standard clinical note tools become available once a note has been generated, including adding a body chart, an image, or a standard template.

Write a GP letter or treatment summary from this note

Use the dropdown next to Save and select Save & AI Letter to move straight into writing a GP letter or treatment summary, using this note as context. See Using AI Letters
