Sending Appointment Reminders Early for Public Holidays

Overview

This article goes over the process of sending Reminders early. This is useful in instances such as Public Holidays.

1) Enabling Hold App. Reminders

Before setting up a new Reminder it is strongly advised to enable the Hold App. Reminders option for the Reminder Sent status. This will prevent multiple/duplicate reminders from being sent for a single appointment.

After the Public Holiday has passed, you can re-enable this setting if needed.

Scroll down to the Appointment Statuses section and enable the Hold App. Reminders option for the Reminder Sent status.

2) Copy an Existing Reminder

The next thing to do is to create a copy of your existing appointment reminders and configure them to go out earlier than normal.

Select the reminder that you would like to send early by clicking on it's name.

Step 3:

Click on the Cog icon at the top of the page.

Step 4:

Click Copy Appointment Reminder.

3) Configuring the Reminder

Now that we have a copy of your existing reminder, it needs to be configured to go out early.

Step 1:

Enter a name for this Reminder.

Step 2:

If enabled, disable the Do not send reminders on setting.

Step 3:

Set the Send Reminders setting to the number of days before the appointment these Reminders should be sent and the time at which to send them.

Step 4:

Click Save.

4) Disabling the Reminder

The next step depends on whether the reminders are to be sent today or for a future date.

If the reminders are to be sent today:

Wait until the reminders have been sent then Mark the Reminder as Inactive. Do this by selecting the Reminder and clicking on the Cog icon at the top of the page, then selecting Mark Appointment Reminder as Inactive.

If the reminders are to be sent in the future:

Mark the Reminder as Inactive by selecting the Reminder and clicking on the Cog icon at the top of the page, then selecting Mark the Reminder as Inactive (See image above).

Follow the same process to Mark the Reminder as Active on the day that you want the Reminders to be sent. Once they have been sent, Mark the Reminder as Inactive again.

This Reminder can be re-used each time there is a public holiday by following these steps as needed.
