AI Data Security Information for Practitioners

At PracSuite, we prioritise the security and privacy of your patients’ data. Here’s how we ensure that patient information remains safe:

1. Consent for Recordings:

  • Practitioners are required to obtain explicit consent from patients before recording any conversations or consultations.

  • PracSuite will also ask for your consent before initiating the conversation audio recording process.

2. Audio Recording Security:

  • No audio recordings leave our secure Australian cloud environment.

  • All audio transcribing occurs within our secure Australian cloud environment.

  • Recordings are destroyed immediately after transcription.

  • No audio recordings are retained.

3. Transcription Control:

  • Saving audio transcripts is optional and fully within your control.

4. AI and External APIs:

  • We utilise external APIs to process transcripts and patient history, leveraging AI capabilities powered by large language models (LLMs) to generate content.

  • All API endpoints are located within Australia.

  • We use LLMs that do not store your data.

  • Data passed to LLMs is not used for training AI models.

  • Data passed to LLMs is only used to generate clinical notes or documents during your specific interactions, with no history stored between interactions.

5. Data Access Control:

  • Standard clinical note access permissions apply, ensuring that clinical notes and letters generated with these tools can only be accessed by authorised practitioners.

6. Data Encryption:

  • All PracSuite data is stored onshore in Australia, using industry-best encryption both at rest and in transit.

7. Access Control:

  • Mandatory two-factor authentication (2FA) is enabled for all PracSuite accounts to protect against unauthorised access.

Your privacy is our top priority at PracSuite. Here’s how we keep your personal data safe:

• Your healthcare provider must obtain your consent before any conversations or consultations are recorded.

• PracSuite ensures that recordings only occur when you have agreed.

2. Audio Recording

• No voice recordings leave our cloud hosting environment.

• All audio recordings occur within our secure, Australian hosting environment.

• All voice to text transcriptions occur on severs managed by us and within our hosting environment.

• Recordings are destroyed immediately after transcription.

• No audio recordings are stored..

3. AI and Data Use:

• Our AI system helps your healthcare provider write clinical notes or letters, using or AI functionality hosted in Australia.

• None of your data is used to train AI models or shared for any other purposes.

4. Data Access Control:

• Only your healthcare provider has access to the clinical notes or letters generated with these tools, ensuring your information stays private.

5. Data Storage and Encryption:

• All of your healthcare data is stored securely within Australia using advanced encryption techniques.

6. Access Security:

• PracSuite ensures only authorised individuals can access your data, requiring two-factor authentication for all healthcare providers using our system.
