How to copy emails you receive outside of PracSuite back into PracSuite

Two ways to save emails from Outlook, Mail or other email applications into the patient file, and when to use each.

If you reply to patients from your own email application, those emails don't automatically appear in PracSuite. You can copy them into the patient file so all correspondence is kept in one place. There are two ways to do this.

Option 1: add the email as a memo in the Messages tab

Memos are the most common way to copy the contents of an email back into PracSuite.

  1. Open the email in your email application and copy the content.

  2. In PracSuite, open the Patient file > Messages tab.

  3. Click Memo.

  4. Add a Subject and paste the email content into the memo.

  5. Click Save.

The memo appears in the Messages tab alongside the emails and SMS sent through PracSuite. For more detail, see How to add a Memo to the Messages tab of the Patient File.

Attachments are not copied across with a memo. If the email has attachments you want to keep, upload them to the Files tab of the patient file.

Exporting memos

A key benefit of memos is that they can be exported with the rest of the patient's correspondence. The Export button at the top of the Messages tab exports the entire history of sent and received SMS, emails and memos to Excel. See How to export the Messages tab of a Patient file.

Option 2: add the email as a file in the Files tab

You can also add the email itself to the patient file as an EML or MSG file, so it is stored exactly as it was received.

Try dragging the email directly into PracSuite

  1. In PracSuite, open the Patient file > Files tab.

  2. In your email application, drag the email (or an attachment) into the Drop files here to upload section.

This works with some combinations of email application and browser, for example Outlook on macOS with Safari. It doesn't work with the new Outlook for Windows, or with Chrome or Firefox on macOS. If nothing happens when you drop the email, use the save and upload method below.

If dragging doesn't work: save the email, then upload it

1. Save the email to your computer. Use either of these methods:

  • Right-click the email and use Save as. In Outlook, right-click the email in your message list, select Save as, then choose Save as EML or Save as MSG.

  • Drag the email to your desktop. Drag the email from your email application to your desktop or another folder on your computer. To keep an attachment, drag it to your desktop or download it from the email.

2. Upload the file to PracSuite. In the Patient file > Files tab, drag the saved file from your desktop into the Drop files here to upload section, or click Add and browse to the file.

Exporting and finding files

The Files tab supports bulk exporting, but emails will be exported as EML or MSG files, which can only be opened in an email application.

Files are only found on the Files tab of the patient file. They are not searchable anywhere else in PracSuite.

Which option should I use?

Use a memo when you want the email content to be easy to read in PracSuite and included in an Excel export of the patient's messages.

Use the Files tab when you want to keep the original email intact, and you are happy for it to be opened only in an email application.
