Making a practitioner unavailable when no roster applies

Prevent bookings with a practitioner before their first roster starts, between rosters, or after their last roster ends.

Overview

Rosters set the available hours of a practitioner at a business. When no roster applies, the practitioner is available for all of the business's opening hours (as per Settings > Businesses).

No roster applies before a practitioner's first roster starts, after their last roster ends, and in any gap between two rosters. The Unavailable when no roster applies option makes all of that time unavailable instead. No appointments can be booked in unavailable time.

This is the recommended way to prevent bookings when a practitioner has no roster.

This is useful for:

  • preventing bookings before a new practitioner starts

  • preventing bookings after a practitioner has finished working at the practice

  • practitioners with a known start and end date, such as students, casual staff and locums

Turning on Unavailable when no roster applies

The option is set for each practitioner at each business they work at. If a practitioner works at more than one business, turn it on under each business that needs it.

Step 1: Go to Settings > Practitioners > Practitioners and select the practitioner.

Step 2: Select Edit.

Step 3: Scroll to the Roster section. Under the heading for the business, turn on Unavailable when no roster applies.

Step 4: Select Save.

What you will see

Periods with no roster are shown as shaded rows with a status of Unavailable, for example "No roster assigned before 26/4/2025" or "No roster assigned from 10/10/2026". They update as you add rosters and change roster dates.

Common setups

A practitioner who has not started yet

Assign their roster with a start date of their first working day. They are unavailable until that date. See Assigning a Roster to a Practitioner.

A practitioner who is finishing

On their last roster, tick the end date box and enter their last working day. They are unavailable from the following day. If the end date box is not ticked, the roster continues indefinitely.

A practitioner with a known start and end date

Set the start date on their roster to their first working day and tick the end date box for their last working day. They are unavailable before and after.

A gap between rosters

Rosters cannot overlap. If one roster ends and the next starts later, the days in between are unavailable.

Viewing past rosters

The Display filter above the roster list is set to Current and upcoming by default, so rosters that have ended are not listed. To see them, change Display to All.


Using an N/A roster instead

An N/A roster is a roster with every day unticked. It does the same job and is still supported, so practices that already use one do not need to change anything. For making a practitioner unavailable when no roster applies, we recommend the option above, as an N/A roster has to be created, assigned with a start date, and end dated, and it has to be assigned on each side of a working period.

Step 1:

Navigate to the Settings > Practitioners > Rosters page

Step 2:

Click Add at the top of the page to create a new Roster.

Step 3:

Enter N/A into the Description field.

Step 4:

Uncheck the boxes for all of the days.

Step 5:

Click Save

Default Roster for New Practitioners

An N/A roster can be assigned to new practitioner files automatically by selecting it as the Default on the Settings > Practitioners > Rosters page.
